A <span class=\"s2\">study published in <em>Health Affairs<\/em><\/span>\u00a0in July 2018 reported that 16 percent of Americans\u2019 credit reports <a href=\"https:\/\/www.healthaffairs.org\/doi\/abs\/10.1377\/hlthaff.2018.0349\" target=\"_blank\" rel=\"noopener\">included medical debt<\/a>. At age 27, when medical debt peaks, patients averaged\u00a0<span class=\"s2\"><a href=\"https:\/\/www.advisory.com\/daily-briefing\/2018\/07\/31\/medical-debt\">$684<\/a>\u00a0of\u00a0<\/span>collections debt. That number doesn\u2019t include medical debts not reported to a credit bureau.<\/span><\/p>\n<p class=\"p1\"><span class=\"s1\">So how can you encourage patients to pay on time\u00a0\u2014 and collect on overdue payments in a kind, respectful manner? Here are the strategies other practitioners rely on.\u00a0<\/span><\/p>\n<h2 class=\"p1\"><span class=\"s1\">Set payment expectations upfront<\/span><\/h2>\n<p class=\"p1\"><span class=\"s1\">Maybe that walk-in patient thought you were in their network, before getting hit with a\u00a0larger-than-expected charge they can\u2019t afford. Unexpected fees can put a damper on patient\u2019s ability to pay on time. &#8220;If proper insurance verification is done and proper procedures are in place, this will eliminate 90 percent of your problems collecting payment,&#8221; said\u00a0<a href=\"https:\/\/www.drjamesfedich.com\/\" target=\"_blank\" rel=\"noopener\">James Fedich<\/a>, clinic director at <a href=\"https:\/\/www.hackettstownfamilyclinic.com\/\" target=\"_blank\" rel=\"noopener\">Village Family Clinic<\/a> in\u00a0Hackettstown, New Jersey.\u00a0<\/span><\/p>\n<p class=\"p1\"><span class=\"s1\">Prevent this problem by training your staff to <span class=\"s2\">confirm a patient\u2019s coverage<\/span> and review financial responsibility before their appointment, advises Fedich. E<\/span><span class=\"s1\">ncourage prospective patients to use tools like an\u00a0<a href=\"https:\/\/www.zocdoc.com\/about\/blog\/company\/introducing-zocdoc-insurance-checker\/\">insurance checker<\/a>\u00a0to ensure you\u2019re in their network and avoid any surprise out-of-network fees that could result in late payments.<\/span><\/p>\n<h2 class=\"p1\"><span class=\"s1\">Offer a range of payment options<\/span><\/h2>\n<p class=\"p1\"><span class=\"s1\">Getting a patient to pay their whole bill at the office may be your best bet to collect in full, given that\u00a0<a href=\"http:\/\/info.eliteps.com\/elitepsblog\/4-big-patient-payment-trends-shaping-healthcare-revenue-collection\"><span class=\"s2\">just 7 percent of consumers<\/span><\/a> consider medical bills the highest or even second-highest priority among their bills.\u00a0<\/span><span class=\"s1\">Train staff to collect payment while patients are in the office. Ask upfront which mode of payment they prefer\u00a0and\u00a0<a href=\"http:\/\/isngs.com\/tips-avoid-late-patient-payments\/\" target=\"_blank\" rel=\"noopener\">have their bill ready<\/a>\u00a0by the time their appointment is finished.\u00a0<\/span><\/p>\n<p class=\"p1\"><span class=\"s1\">You could also give patients the option to keep a credit card on file for\u00a0<a href=\"https:\/\/www.stepsforward.org\/Static\/images\/modules\/20\/downloadable\/collections-after-service.pdf\">automatic billing<\/a>\u00a0and use during subsequent appointments. &#8220;The majority of our clientele prefer the ease of a card on file,&#8221; said Kelsey Zamoyski, an occupational therapist at <a href=\"http:\/\/defytherapyandwellness.com\/\" target=\"_blank\" rel=\"noopener\">Defy Therapy and Wellness<\/a> in North Miami Beach, Florida. &#8220;Having automatic credit card charges takes away the burden and hassle from both the client and clinician and keeps late payments to a minimum.&#8221;<\/span><\/p>\n<p class=\"p1\"><span class=\"s1\">A partnership with a trusted interest-free debt provider may also be worth pursuing, so that new patients can seek out financing before they come to your office. Diana Seehease, a registered nurse and office manager at\u00a0<a href=\"https:\/\/www.miveins.com\/\" target=\"_blank\" rel=\"noopener\">Northern Michigan Vein Specialists<\/a> in Traverse City, Michigan, has found that interest-free financing puts patients at ease and helps them pay on time.<\/span><\/p>\n<p class=\"p1\"><span class=\"s1\">For patients who don&#8217;t want to keep a card on file or utilize a payment plan, consider incorporating online and mobile payment options. This gives you multiple ways to settle invoices and could help\u00a0<a href=\"http:\/\/info.eliteps.com\/elitepsblog\/4-big-patient-payment-trends-shaping-healthcare-revenue-collection\">raise overall patient satisfaction<\/a>.<\/span><\/p>\n<h2 class=\"p1\"><span class=\"s1\"><b>Stay efficient and professional<\/b><\/span><\/h2>\n<p class=\"p1\"><span class=\"s1\">Advise your staff to <a href=\"https:\/\/www.stepsforward.org\/Static\/images\/modules\/20\/downloadable\/collections-after-service.pdf\" target=\"_blank\" rel=\"noopener\"><span class=\"s2\">process and send invoices immediately<\/span><\/a>\u00a0so patients understand that prompt payment is expected. Include a phone number on each invoice so patients can contact you with questions, and review patient accounts after their visits to catch any late or missed payments before they accrue more medical debt.<\/span><\/p>\n<p class=\"p1\"><span class=\"s1\">If you\u2019re collecting payment after service, make sure your office has the information needed to follow up on any late payments. When patients are in the office, ask them to <a href=\"https:\/\/www.stepsforward.org\/Static\/images\/modules\/20\/downloadable\/collections-after-service.pdf\" target=\"_blank\" rel=\"noopener\"><span class=\"s2\">confirm their contact information<\/span><\/a> \u2014 including their work, cell and home phone numbers, home address and email\u00a0\u2014\u00a0so your staff can get in touch about overdue payments if necessary.\u00a0<\/span><\/p>\n<p class=\"p3\"><span class=\"s1\">It can feel awkward to follow up regarding overdue payments, so advise your staff to follow a <a href=\"https:\/\/www.stepsforward.org\/Static\/images\/modules\/20\/downloadable\/poc-scripts.pdf\" target=\"_blank\" rel=\"noopener\"><span class=\"s2\">set of scripts<\/span><\/a> to keep the conversation on track.
