Meet the new Zocdoc Calendar
We’ve redesigned the Zocdoc Calendar to be simpler and easier to use — without changing your settings or availability. It’s now more intuitive to navigate and packed with helpful new features.
Toggle between appointments and open availability
New toggles help you simplify your view and focus on the task at hand.
Improved filters
Easily filter to the schedule you need to see by provider or location. Locations are now color-coded for easy viewing, and provider filters show full names instead of initials.
Patient information at a glance
View insurances, IDs, and intake forms directly in the calendar, in addition to Inbox.
How to manage availability
If your scheduling software is not eligible for a Calendar Integration, you must keep your availability up-to-date in the Zocdoc Calendar. The new calendar makes this easier than ever. Check out our best practices for managing availability.
Note: If you have a Calendar Integration, availability will automatically pull from your EHR. You won’t be able to add or edit availability in the Zocdoc Calendar, but you can still add busy blocks.
Adding availability
Navigate to the provider’s schedule, and click the desired day and time to add an available block of time. From there, select Day only or Recurring. For recurring availability, you can add an optional end date, and adjust the days of the week and frequency.
Editing availability
Click any availability block and select Edit availability for this day only or Edit recurring series. From there, you can change the time, frequency, day of the week, and location of the availability.
Deleting availability
Follow the same steps to edit availability. Then, click Delete on the bottom left.
Adding busy blocks
Add a busy block to your calendar to mark when patients cannot book with you, such as when you receive a booking over the phone. This will help prevent a Zocdoc patient from double booking at that time.
To add a busy block, click a time within an availability block to set the duration. Select the time zone that the provider will be located during that time. To edit or delete, simply click on the busy block to make changes.
Adding out of office blocks
Out of office blocks ensure you show up as unavailable all day long (e.g., vacations or holidays when your practice is closed).
Click below the provider’s name to mark them as out of office. Make sure to save it by clicking Add.
Frequently asked questions
Why do I see so many overlapping availability blocks?
Your availability hasn’t changed – the new calendar just makes any overlapping blocks you had before easier to see. You can click into any block to edit or delete it.
Even if availability blocks overlap, only one patient can book a time slot.
Tip: You should only have one availability block per in-person location (you can’t be in two places at once!) If you offer both in-person and virtual visits, you’ll need to add separate availability for each location. That means overlapping blocks are expected if you have multiple virtual locations.
How is the calendar’s time zone set?
The calendar’s time zone automatically updates based on your current location. You can easily adjust the time zone by clicking the drop-down on the left side of your calendar.
Note: This does not affect what patients see – they’ll always view availability in the office location’s time zone. You can also check the time zone for any availability block or appointment by clicking into it.
How can I update a location's name or address?
To make changes to the location name, go to your locations settings. Click the three dots next to the location you want to update, then select View and edit details. From there, you can edit the location name.
Address changes require help from Zocdoc Service. If you're making a small update, such as changing a suite number, reach out to Zocdoc Service for assistance. If you’re moving to a new address, you’ll need to add the new location first and then contact Zocdoc Service to remove the old one.
If a location doesn't have a name or address, it will appear as "--" in your calendar.
How do I view the tutorial again?
You can rewatch the tutorial by going to the Resources section at the bottom left of the calendar, just below the location filters. Then, click Take a guided tour. We recommend sharing it with your staff, so everyone is comfortable using the new calendar.
Can I change the “zoom” of the calendar view?
Yes, you can change your calendar view. Click on the gear icon at the top of the calendar and select Compact to zoom out and see more of your day at once.
To share any feedback with our team, click Send feedback to Zocdoc on the bottom left of the calendar.
Can I see a list of appointments in the calendar, similar to the previous "agenda" view?
The new calendar no longer has the "agenda" view, which showed a list of appointments. If you are looking for the patient confirmation status, you can view that in the Patient submissions section of your appointment card in the calendar or Inbox.
