What is a Calendar Integration?
Calendar Integration is a free tool that connects your Zocdoc and practice calendars, so you can manage just one schedule. Zocdoc integrates with most scheduling softwares, having built 150+ integrations with top EHRs, practice management systems, and custom solutions.
Calendar Integration is the best way to maintain real-time availability because it automatically checks your practice’s calendar to update your availability in real-time, so it’s always up-to-date. When you get a booking from any of our online scheduling options—the Zocdoc Marketplace, Google, or your website—your Calendar Integration automatically updates your practice calendar. If you need to reschedule, cancel, or manage the booking, you can do that directly in your scheduling software.
Note: For certain practices, your Calendar Integration reads your real-time availability but does not write appointments back into your scheduling software. If this sounds like your practice, make sure you're reviewing appointments in Inbox promptly and add any bookings you get from Zocdoc into your scheduling software.
How to check the status of your Calendar Integration
If you have a Calendar Integration or are in the process of getting one set up, you can view the status of your Calendar Integration under your settings for Integrations.
To view, sign in to your Zocdoc account then select your name, then Integrations. For each location at your practice, you’ll see one of the following statuses:
Not integrated: Zocdoc is not connected to your scheduling software
Pending: Your integration setup is in progress
Integrated: Zocdoc is connected to your scheduling software
Not eligible: Zocdoc is not able to connect with your scheduling software at this time
You’ll also see the last time Zocdoc was able to read appointment availability from your scheduling software. Typical times range from 0-25 minutes.
If the availability on your patient-facing profile looks incorrect or you’ve received a booking for a time that is not available, and the last updated time on your practice’s integration is longer than 1 hour, reach out to our service team or email enterprisesupport@zocdoc.com to help troubleshoot.
How to set up your Calendar Integration
If you’re eligible for a Calendar Integration, getting started is easy. Most integrations take one 30-minute phone call. Depending on your scheduling software, follow the prompts to get set up instantly or schedule a call with our Integration Support team.
To get started, find out if Zocdoc can integrate with your practice calendar by visiting this page. Select your practice’s scheduling software from the drop-down menu to check your integration eligibility. If you’re eligible, you’ll be prompted to follow steps to set up your integration.
You’ll be given instructions specific to your scheduling software. Make sure you follow those instructions, which may include:
Entering your login credentials for your scheduling software
Scheduling a call with our Integration Support team
Completing a form
A note about lead time
To ensure patients and practices have enough time to prepare for the appointment before it takes place, patients will only be able to see and book times that are at least 2 hours in advance. For example, say it's 10 a.m. and a patient is looking at your practice’s availability for the day. The earliest appointment a patient would be able to see, if your practice has availability at this time, would be 12 p.m. Learn more about lead time.
