What user permissions are available in Zocdoc?

Learn more about how customers can control what users view and manage in their account

Each time you add a user to your Zocdoc account, you can customize their permissions to control what each user can see or do in your account. Grant all permissions or custom permissions and select a combination of permissions sets: Appointments, Billing, Practice Settings, Sponsored Results, Zo, and Zo live calls.

This article explains the levels of access you can assign, the permissions available, and instructions for how to make changes.

All permissions

Users with all permissions have the ability to take actions across all pages on Zocdoc and can view all patient information and financial data. Only all permissions users can add users and adjust permissions for users with custom permissions. Typically, all permissions should only be given to the primary admin of the account, such as an operations managers.

Appointments

Users with “appointments” permissions can view patient information and manage actions on the Calendar, Inbox, and Intake pages, including confirming, canceling, and rescheduling appointments, managing availability, and sending intake requests. Staff responsible for appointment- and scheduling-related tasks, such as receptionists and the front desk, are best granted this permission.

User Management

Users with “user management” permissions can manage all of the users on the account, with full control of the Users page. They can create, edit and delete users. Typically IT administrators or operation managers are best granted this permission.

Billing

Users with “billing” permissions can access patient information and financial data, with full control over the Billing and Performance pages. They can view performance metrics, download invoices, and manage Zocdoc Marketplace spending. Staff responsible for handling invoicing, such as accounts payable or similar roles, should be given these permissions.

Practice Settings

Users with “practice settings” permissions cannot access patient information or financial data. However, they have access to the Providers, Practice, Profile Edit, Insurance Settings, and Visit Reason settings pages, enabling them to manage all aspects of practice and provider profile set up. This includes setting visit reasons, accepted insurance plans, and specialties for each provider, configuring practice setup (e.g., creating locations, adding providers), and signing up for features like Intake, Zocdoc Video Services, the Book Online Button, and Calendar Integration. Staff responsible for overseeing provider onboarding and setup, such as practice manager or operational leadership, should be given these permissions.

Sponsored Results

Users with “Sponsored Results” permissions can access financial data and manage the Sponsored Results (SPO) dashboard for paid advertising on Zocdoc. This includes managing providers in SPO campaigns, adjusting bids and budgets, and viewing performance data. Staff responsible for managing paid advertising, such as finance teams, marketing managers, or third-party marketing agencies, should be given these permissions.

Zo*

Users with the "Zo" permission can access the Zo Performance page, where they can view key metrics like call volume, along with call logs and complete transcripts for all calls received through Zo.

Zo live calls*
Users with the "Zo live calls" permission can access call summaries only to manage live calls forwarded to them by Zo.

*Note: Only clients who have Zo enabled can access Zo pages.

How do I add, remove or change permissions for users?

Only users with “all permissions” will be able to add, remove or change permissions for other users. If you’re having issues making changes, contact Zocdoc for support.

First, go to the Users tab in Settings. To add a new user, select the yellow Add button on the top right of the page. To edit permissions for an existing user, select their name.

Select the respective permissions that you want the user to have access to and hit the Save button to apply changes.
