How to use patient confirmations messages to help your practice to reduce patient no-shows and save your staff time on the phone.

Updated over 9 months ago

Save your staff time and reduce no-shows with patient confirmation messages.

About patient confirmations

With patient confirmation messages enabled, your patients will be asked to confirm their appointments, helping your practice to reduce patient no-shows and saving your staff time on the phone.

All of your patients, those who book through Zocdoc and non-Zocdoc methods such as the phone, will receive a patient confirmation message via SMS and email 48 hours before the appointment, asking them to confirm their attendance.

Patient confirmation messages work seamlessly with Intake. After confirming their attendance, the patient will be directed to complete any outstanding intake tasks.

Enable patient confirmation messages

Patient confirmation messages can be enabled by selecting the “Ask patients to confirm attendance” toggle in the Communication preferences section of your Intake settings. You can indicate if you want to send patient confirmation messages to your new and existing patients. See how to navigate to your Intake settings.

Manage patient confirmation status

Once the patient confirms, their status will automatically update in their appointment card in your Inbox under Patient submissions.

If your patients typically confirm by phone, you can manually change their confirmation status by selecting the call option in the Patient confirmation drop-down of the appointment card.

Status Definitions

  • Pending Send: This will appear up until 48 hours before the appointment; at that point, the patient confirmation message will be sent.

  • Sent: The message has been sent to the patient.

  • Confirmed: The patient has confirmed their attendance .

  • Left message: The patient was contacted by phone (no answer), and your office left a voice message.

  • Could not reach: The patient was contacted by phone (no answer), and you did not leave a voice message.

  • N/A: This patient is not set to receive a patient confirmation message. You can enable this patient type to receive a confirmation message in your Intake Preferences. Note: This status applies If the patient books 60 minutes before the appointment start time.
