How to be notified of new appointments

Set up notifications so you can be updated about your new appointments.

There are a few ways to ensure you and your staff are notified when you receive a new appointment through Zocdoc.

Red badge

When you log into your Zocdoc account, the red circle next to Inbox notifies you of how many booking updates you need to address.

Email

You’ll receive an email when you get a booking update—like a new, rescheduled, or canceled booking. When you receive a new booking, be sure to review it quickly and reach out to the patient if you have any questions. Learn more about how to set up emails for appointment notifications.

In the example below you’d receive an email that looks like this. Select Review to view appointment details. Remember to add this appointment into your scheduling software to ensure there are no double bookings. If you have a read-and-write calendar integration, you can skip this step—appointments will already be automatically added into your scheduling software.

Alerter

What is the Alerter?

The Alerter is software designed by Zocdoc to run on your computer that notifies you of new, rescheduled, and canceled appointments. Note: If you have a read-and-write calendar integration, you will only receive cancellation notifications from the Alerter.

How to set up the Alerter

You can download the Alerter (on as many computers as you’d like) by following the step-by-step instructions here.

Windows

After you download the Alerter, the Zocdoc icon will appear in your Windows taskbar.

Right-click on the Zocdoc icon to log in and then set your location(s).

Mac

Once downloaded, the Mac Alerter can be installed by double-clicking on the downloaded file, and dragging the Alerter App into the Applications folder.

From there, double-click the Alerter icon. Now it’ll automatically launch whenever the computer starts.

Troubleshooting

I’m not receiving any notifications through the Alerter, even though I have new notifications.

Try the following:

  • If you click the X button to close the pop-up without confirming the appointment, the Alerter registers that as you snoozing the notification. In that case, the Alerter may wait a number of minutes before the next pop-up, which means the Alerter won’t show notifications for awhile. Make sure to take action on the notification, so that you don’t snooze too many notifications.

  • Ensure the computer time is accurate and the proper location is selected in the Alerter menu.

  • Shut down and restart the Alerter. (Refer to the steps outlined below in I’m receiving Alerter notifications, but I don’t see any new notifications in my account).

  • Check the practice’s anti-virus and firewall settings. Alerter.exe should be added to the exclusion list.

  • When in doubt, restart the computer.

Note that if you have a read-and-write calendar integration, you will only receive cancellation notifications from the Alerter.

I’m unable to log in to the Alerter, even though I can log in to my Zocdoc account.

If your practice reactivated your Zocdoc account after previously deactivating, then your past credentials are still stored in the Alerter. You will need to change your login credentials on the Alerter.

  1. Right click on the Alerter icon on the bottom right of your screen.

  2. Select Change Log-in Credentials and then on the next page, Settings.

  3. This will let you change the log-in credentials. This must be changed to credentials not in use by a provider that was deactivated.

Or, if you have an anti-virus program, it may be blocking the Alerter. If you believe this may be the case, contact us for help excluding the Alerter from your anti-virus scan list.

I’m getting Alerter pop-ups, but when I’m in my account, I don’t have any new notifications there.

Try shutting down and restarting the Alerter.

If you’re using Windows:

  1. Right-click on your task bar’s menu and select Start Task Manager.

  2. Choose More Details, then select the Processes tab to find Alerter.exe and select End task.

  3. To restart the Alerter, go to the start menu and select on All programs and find the Zocdoc folder. Double-click on the Alerter icon.

If you have a Mac, follow these steps:

  1. Press command + space to search for “Activity Monitor”

  2. Navigate to the Memory tab and double-click on the Alerter.

  3. On the pop-up, select Quit.

The Alerter keeps crashing, or I keep seeing an error message.

Try uninstalling and then reinstalling the Alerter.

How do I uninstall the Alerter?

If you're using Windows:

  1. Make sure the Alerter isn't running by going to Task Manager (Ctrl+Alt+Delete) and click "End Task" for the Alerter.

  2. Then, navigate to Program Files, or search in your Start menu for Program Files or Zocdoc Alerter

  3. Find the file entitled ZocdocAlerter. Then, click Uninstall.

If you have a Mac, you can stop the pop-ups by clicking the Alerter icon at the top right of your screen, and then clicking Sign out.

Take these steps if you would like to continue with uninstalling the Alerter:

  1. Make sure the Alerter isn't running by going to Activity Monitor. You can do this by typing in Activity Monitor into Spotlight Search (Command+Spacebar)

  2. Within Activity Monitor, click on ZocdocAlerter, and then click the Stop icon in the top left. Then, click Quit.

  3. From there, you can uninstall the Alerter by dragging it from the Applications folder to the Trash Bin.
