Zocdoc / Online Scheduling Intake Workflow
Connected Thoughts Counseling PLLC may use Zocdoc or other approved referral and scheduling platforms to support client access and referral growth. Zocdoc appointments are considered appointment requests until intake requirements are completed and administrative review is finalized.
New client appointments should generally require at least 24 business hours of lead time unless manually approved by the Operations Director, Executive Director, or designee. This allows time for insurance verification, completion of intake paperwork, review of payment authorization, and proper TherapyNotes setup.
Clients scheduled through Zocdoc must complete all required intake steps before the appointment, including demographics, insurance information, photo ID or insurance card when applicable, consent forms, telehealth consent if applicable, financial policies, and payment authorization/card-on-file requirements.
Insurance benefits may be reviewed as part of the intake process; however, quoted benefits are not a guarantee of payment. Clients remain responsible for copayments, coinsurance, deductibles, denied claims, non-covered services, and other out-of-pocket amounts determined by their insurance plan.
Appointments may be canceled or rescheduled if required intake forms, insurance information, or payment authorization are incomplete within the required timeframe. CTC may remove or hold appointment availability when administrative review, payer verification, or client setup is incomplete.
Zocdoc, Google Calendar, and TherapyNotes must be monitored to prevent duplicate bookings, unverified appointments, or appointments being confirmed before the client has completed required intake steps. Final clinical scheduling and documentation occur through TherapyNotes.
Self-pay rates are $275 for the initial session and $200 for ongoing 53-minute psychotherapy sessions unless otherwise stated in a written agreement or approved sliding rate.
